We can start with generals about why the management of purchases in projects is of great importance: this refers to the goods and services that have to be acquired in the project in order to ensure a productive and punctual process for each of its activities. We always watch over the conditions of quality, price and time, as well as the maintenance of efficient relationships with suppliers throughout the execution, in the subsequent requirements, and in the warranties of the projects.
In Mar Azul Projects the requirements of each client are taken into account and the service is adjusted as expected for each project, always adapting to the constant changes that occur in the construction sector. Mainly, it includes the management of the purchasing process, when the responsibility of Mar Azul Projects includes functions such as Project Manager (PM) and Construction Manager (CM). This process adds value to management, since it guarantees the organized acquisition of materials through good traceability; essential support for situations throughout the project and future events.
The main objective of the Purchasing Management Process of Mar Azul Projects consists of acquiring materials and services in a timely manner, complying with all the quality and requirements of the project. An important tool that helps us maintain controls over what is requested and approved by the client according to the project schedule, are the Submittals within the Procore tool, since they allow us to maintain the record and traceability, from the moment of the bidding to the approval and arrival of the material.
Additionally, submittals are essential for the approval of specific and technical materials that facilitate communication, by sending the customer the details of the purchase of the products and/or services with their associated technical information for proper approval. Subsequently, it is also delivered to the trained and suitable personnel who will carry out the work. Thus, we obtain a sequence of the entire process and support of each approval; valuable information that provides perfect traceability to avoid problems that may arise in advanced stages or when the project is completed.
Another value generated by the management of purchases in projects is the prior evaluation and subsequent monitoring that is given to supplier companies when a project is executed. Through initial and semi-annual evaluations within the process (which feed a database that helps us when reviewing previous references in works executed by Mar Azul Projects), we include the review of experiences for new supplier companies that are invited to bid. With the evaluation of the best proposal and its references, the supplier company with the highest compliance is selected as per the requirements of each client. We can cite five main characteristics that are evaluated at the time of each selection: experience, reference, compliance, financial proposal and quality in previous works.
The aim of these evaluations is to highlight or identify the strengths of each supplier company in relation to the execution provided in each project. Qualities such as responsibility, good communication, disposition, quality in delivery of work and experience in general execution allow our suppliers to maintain a good commercial relationship and to establish themselves as commercial allies in order to help us obtain and satisfy the results expected by each client.
In the same way as we care about the relationship with our clients, it is also important for Mar Azul Projects to establish relationships of trust with our suppliers. We know that having companies that provide impeccable and quality service is vital for the execution and timely completion of any project. Maintaining a good commercial relationship and trust with our suppliers is a key point that, in turn, becomes important in assuring the final quality of our services.
